Automatic proposal follow-ups
You send the quote. The client opens it, thinks "looks good, I'll reply tonight" — and doesn't. A week later you're still wondering. Sammy can do the chasing for you: three short, polite emails in your name, so the quote doesn't die in someone's inbox and you don't have to be the one nagging.
Turn follow-ups on when you send a proposal and Sammy will email your client:
- Day 2 — a quick check-in
- Day 5 — a friendly circle-back
- Day 10 — a last nudge, with an easy out if the timing isn't right
Each follow-up goes out at 9am your local time, comes from your business name, and continues the same email conversation as the original proposal. Replies come straight back to you.
Automatic follow-ups are a Sammy Pro feature.
Turning follow-ups on#
- Open the estimate, tap Actions (on a computer it's in the bottom-right corner), then Send proposal
- In the send screen, open the Follow up automatically section
- Switch on Email reminders
- You'll see the exact dates each follow-up will go out. Tap any date to read the email your client will receive, and to change the wording if you like
- Send the proposal as normal
Follow-ups are off by default and you choose per proposal. Turning them on for one proposal doesn't turn them on for others, and there's no account-wide switch.
What your client receives#
Each follow-up is a short, courteous email from your business — never pushy. It mentions the proposal number, links back to the proposal, and signs off with your name and phone number. Want different words? See Customising proposal follow-up messages.
When follow-ups stop#
Sammy stops chasing the moment the client has actually responded. Remaining follow-ups are cancelled automatically when your client:
- Accepts the proposal
- Declines it
- Requests changes
- Downloads the PDF
- Replies to the email — a real conversation beats an automatic nudge, so Sammy backs off and lets you take over
- Unsubscribes — every follow-up has an unsubscribe link at the bottom, and it works with the Unsubscribe button in Apple Mail and Gmail too. If your client uses it, Sammy stops the automatic follow-ups to that address. Anything you send them yourself still goes through
They also stop if the proposal email bounced — there's no point chasing an address that isn't receiving. You'll see the bounce on the estimate, with the best way to get the quote to them instead.
They also stop if you mark the estimate as accepted or declined, recall or archive it, turn it into an invoice, resend the proposal (a resend starts a fresh schedule), or cancel them yourself (see below).
Opening the proposal doesn't stop them. A client who has looked at your quote and gone quiet is exactly the one a polite nudge helps most, so Sammy keeps going until they respond. If you'd rather leave a particular client alone once they've had a look, cancel the remaining follow-ups from the Messages tab — it takes two taps.
Cancelling follow-ups after you've sent#
- Open the estimate and go to the Messages tab
- At the top you'll see Scheduled follow-ups with the reminders still to go
- Tap Cancel all reminders, then confirm
Follow-ups that have already been sent aren't affected, and you can still chase manually any time. To start again, resend the proposal with Email reminders switched on.
Staying in the loop#
Every time Sammy sends a follow-up, you get an in-app notification ("Sammy reminded Sarah") so you always know the chasing is happening. The follow-up also appears in the estimate's Messages tab alongside the original proposal, so you can see everything the client has received in one place.
A few things to know#
- Follow-ups only start when you send the proposal with the toggle on — saving a draft never sends anything
- The schedule counts from the day you send
- Resending a proposal with reminders on starts a fresh schedule and replaces the old one
- SMS follow-ups are coming soon — for now, follow-ups go by email
- If a client unsubscribes from automatic follow-ups, that applies to their email address across Sammy — you can still email them directly, and so can anyone else
